How to: Bulk Actions in the Teams Dashboard

The Teams Dashboard now includes the possibility for Administrators to manage their organisations more efficiently by enabling the use of bulk actions. 

 

The new capabilities allow you to:

  • Assign license seats to several users in one flow
  • Unassign multiple users from a single license
  • Unassign multiple licenses from a single user

 

Limitations: To avoid abuse and ensure our users are sticking to our EULA, you are limited to 3 bulk actions per week. Please plan accordingly!

Important note: The assignments will be processed sequentially, so it is very important to keep the window open in order to avoid partially completed actions.

 


 

License assignment to multiple users

 

To perform bulk license assignments, head over to the "Licenses" tab and begin by selecting one or more licenses you wish to assign.

 

Click Assign to users, which opens the assignment window. 

In this window, select the users you want to assign the licenses to. You can also adjust the Seats per user value if you wish to assign multiple seats of a certain license to each user.

 

You can also Filter by Group to narrow the list of users shown in the window. This displays only the members of a selected group. 

When ready, press the Assign button at the bottom of the window. This assigns the configured seats to each selected user. 

Keep the browser tab open until the process completes! Closing the tab interrupts the assignment process.

If you wish to remove a license from several users at once, head over to the Licenses tab and locate the license contract from which you want to remove users and click Show more

 

In the users list, use the checkbox in the header to either Select All or tick individual users you want to unassign the license from. 

Click Unassign selected. A confirmation step appears, in which you can review the selection and confirm. 

The system will run the unassignment process actioned sequentially. Keep the browser tab open until you see the final confirmation.

Note: Unassigned seats typically merge back into the parent license. You may see a "merging licenses" dialog when that happens; this step can take a few minutes the first time you encounter it. Please keep the tab open.

If you want to remove several licenses at once from a single user, go to the Users tab in your Teams Dashboard and find the user whose licenses you want to remove.

 

Click Show more on the user row (or open user details) and select Individual licenses in the licenses panel

In the licenses list for that user, tick the checkboxes corresponding to the licenses you want to remove (or select all), click Unassign selected and confirm the final confirmation dialog.

Wait for the unassignment process to finish and keep the tab open until you receive completion confirmation.

Note: The UI may show a merging process as seats consolidate back into their parent license; this can take a little time.

 


 

Troubleshooting and common questions 

 

Q: I closed the tab by mistake, did my changes finish?

If the browser tab closed during processing, the sequential assignment/unassignment may have been interrupted. Re-run the intended action. For large batches, consider doing smaller batches and validating results in between. 

 

Q: I see a "merging licenses" dialog, what is it?

When seats are unassigned, they are merged back into the parent license contract. The UI may display a merging dialog. This operation can take a few minutes, please keep the tab open.
